Essential Functions:
This temporary 6-month (with possible extension to permanent) Administrative Assistant position, responsible for providing full service administrative support to the CFO and Finance team. They must be able to work with all levels of staff within the school as well as our external vendors. Having access to confidential information, discretion and independent judgement is required.

A workday regularly includes multiple or conflicting demands, deadlines and time pressures; work regularly requires sustained concentration. Standing for sustained periods of time, bending, stretching, walking up and down stairs (building has 6 floors), around a hilly campus as needed, may also require walking between floors or between buildings at a moment’s notice. May need to lift/move boxes up to 25 pounds.
Work Environment:
We are a boarding school located on a 127-acre campus. The work environment will include both indoor and outdoor spaces, mostly inside the classroom or educational environment. May include work within the residential setting. The building has 6 floors accessible by staircases and elevators.

- Provide diverse high-level administrative support to the CFO and Finance team, including but not limited to data management, reporting, and intradepartmental coordination with some light project management.
- Coordinate communications on behalf of the CFO, including drafting correspondence, emails, and reports. May act as a spokesperson and point of contact with vendors, partners, contractors, consultants, clients etc…
- Research and execute special projects as needed, including but not limited to, calendar oversight, coordinating functions, events, and other activities.
- Support CFO-led initiatives such as budgeting, contracts, audits, and system implementations by coordinating schedules, collecting data, and tracking deliverables.
- Obtain, maintain, and track all necessary documentation for assignments.
- Maintain a professional presence when engaging in meetings, phone calls and emails, to demonstrate a fluid working knowledge of our school, procedures, and needs.
- Handle confidential information with discretion, particularly in finance, HR, and executive-level matters.
- Perform other responsibilities as needed and required.

Requirements:
- Associate’s degree in business, Accounting or similar required; B.S. or B.A. preferred.
- Advanced experience with Microsoft suite of products (i.e. Word, Excel, PowerPoint) is required, experience with finance systems like QuickBooks is preferred.
- A minimum of 3 years administrative experience in a fast-paced dynamic environment is required, 5 years is preferred. Experience in finance is preferred.
